Updating Loop expiry date and reminders

How to update the expiry date and time of a Loop that has already been created and scheduled, and how to adjust your email reminders to reflect the new closure date.

Before you Start

  • Your Loop must have already been created and email reminders scheduled before you can update the expiry date.

  • The Loop must not yet have expired. You cannot update the expiry date of a Loop that has already closed.

Step-By-Step Instructions

Update the expiry date

1. Open the Loop from the Loop dashboard

Navigate to your Loop dashboard and open the Loop you want to update.

2. Go to the Details screen

On the Loop, open the Details screen. You will see the current expiry date listed under 'Expires on'.

3. Click the pencil icon next to 'Expires on'

Click the pencil icon next to the expiry date to open the date editor.

4. Change the expiry date and time

Update the date and time to your preferred new expiry. You can extend or reduce the Loop duration as needed.

5. Click 'Save'

Click 'Save' to confirm your new expiry date and time.

Review and update your reminders

6. Review the updated reminder schedule

After saving, you will automatically be offered the option to amend your reminders, as these may be affected by the new closure date. Review each email in the schedule:

  • Invitation to reply — check the date and time this is due to go out

  • Midpoint reminder — this will only appear if your Loop is now long enough to include one. If you have extended your Loop, a midpoint reminder may have been added that was not there before

  • Last chance reminder — check the date and time this is scheduled to send

💡 If you extend your Loop, a midpoint reminder may appear in your schedule for the first time. Review the date it is set to send and adjust it if needed, for example if it falls on a weekend when your team are not working.

7. Adjust the date and time of any reminder

For each reminder you want to change, update the date and adjust the time to your preference.

8. Click 'Save expiry and reminders'

Once you are happy with all the dates and times, click 'Save expiry and reminders' to confirm. Your Loop expiry and all reminder emails will update immediately.

What happens next

Your Loop will now expire at the new date and time you have set. Your contributors will receive their reminder emails at the updated times. If a midpoint reminder was added as a result of extending the Loop, this will be sent automatically at the date and time you confirmed.

Common Questions

Can I reduce the expiry date as well as extend it?

Yes. You can extend or reduce your Loop expiry date as needed using the pencil icon on the Details screen.

What happens to my reminders if I change the expiry date?

After saving a new expiry date you will be prompted to review and update your reminders, as they may be affected by the new closure date. You can adjust the date and time of each reminder before saving.

A midpoint reminder has appeared that was not there before. Why?

If you extend your Loop, it may now be long enough to qualify for a midpoint reminder. This is added automatically. Review the date it is set to send and adjust it if it falls at an unsuitable time, such as a weekend.

Can I update reminders independently without changing the expiry date?

Yes. You can update your reminder dates and times independently of the expiry date via the Invites Scheduled route on your Loop, without needing to change the expiry date itself.

Can I update reminders that have already been sent?

No. You can only adjust reminders that have not yet been sent. Reminders that have already gone out cannot be changed.

Can I update the expiry date after the Loop has already expired?

No. The expiry date can only be updated while the loop is still active.
