How to Create a Loop

This article explains how to create a Loop and how to share it. It covers recording your video question, configuring Loop settings, previewing the contributor experience, and scheduling automated emails to invite colleagues to participate.

Before you start

  • You must have access to your organisation's Dialogue account.

  • Have a clear, simple question in mind that you want to ask your colleagues.

  • Ensure you are in a well-lit space with your camera at eye level before recording.

Create a Loop

1. Start a new Loop

From the Loops home screen, click the New Loop button.

2. Review tips for success (optional)

Click Tips for Success to see guidance on how to frame your question. The key principle: keep it clear and simple. Click the X to close the tips panel when you are ready.

3. Type your question

Enter your question in the text field. It will appear on screen while you record and will be shared with your contributors.

Click Next when you are ready to proceed to recording.

4. Record your video

  • A few quick tips before you record:

  • Good lighting makes a real difference.

  • Position your camera at eye level.

Click Record Video to begin. You can optionally enable Blur or set a background to keep the focus on you.

Click Question to review your typed question as a prompt while recording. Hit the record button when ready - click it again to stop.

You can discard the recording at any point by clicking the Undo button. ↶

5. Review your recording

Click Play to review your recording.

If you are not happy with it, click the undo button to restart and re-record.

If you are happy, click the green tick. Your Loop will be prepared and ready to schedule.

6. Set expiry date

Select the edit pen icon next to the expiry date field. The default is 5 days, but you can make it as long or as short as you need.

Select the date you want the Loop to expire.

Slide the timer to your preferred time.

Click Save to confirm.

On the loop details screen you will be able to:

7. Name your Loop

Click Name your Loop and give it a clear, memorable title. This is an internal label - your colleagues will not see it.

Click Save to confirm.

8. Review and edit your question

Your typed question is displayed here. Make any amendments if needed, then click Save.

9. Set contributor anonymity

Choose whether you want replies to stay anonymous or not. Click the arrow to open the toggle, select your preference, and click Save.

💡 Consider what works best for your audience and organisation before choosing.

10. Edit the thank you message

A default thank you message is shown — this is sent to contributors after they respond. Edit it to feel genuine and personal, explaining why their contribution matters.

Click Save to apply your changes.

11. Add a Thumbnail image (Optional)

Click on the ellipses and select Thumbnail, you can then upload an image from your device.

You also have a final option to remove and re-record your video.

11. Preview your Loop (optional)

Click Loop Preview to see what contributors will experience when they receive your Loop.

Contributors will see:

  • Your video

  • The option to respond by either Video, Audio or Text

  • Your question, clearly displayed so they can quickly understand what you are asking.

💡 This is why a simple, clear question matters - it is the first thing contributors read.

12. Share your Loop

When you are ready to send, click Share Loop to schedule your communication.

Share a Loop

1. Choose how to share

After clicking Share Loop, you will have two options:

  • Invite by Email - Recommended. Sends a tailored, automated cadence of emails to your contributors.

  • Share by Link

    • Copy URL - Paste the link into your own communication. Flexible, but loses the tailored email experience.

    • Download QR code - Creates an extra step for contributors but gives flexibility in promotion.

Invite by Email

1. Click Invite by Email

2. Select your contributor list

Choose the format you would like to use to select your contributor list, then select the contact list you want to send your Loop to.

Click Add selected to confirm your invitees. You can edit this later if needed.

To remove anyone, click Delete next to their name.

Click Confirm Invitees to lock in your selections and move to the next step.

💡 You can save a group of invitees so you can invite the same people again in one click next time.

3. Edit your scheduled emails

You will be shown a set of pre-written emails to send to your contributors. These are fully editable.

Edit the text manually, or use the revert option to undo changes.

Use the AI feature to generate a new subject line or body text if you need inspiration.

Click Save to lock in your edits.

4. Set email send times

Each email will have a proposed date and time. Click to edit these to fit your and your contributors' schedules.

Select a time that works best for your colleagues, then click Save to confirm.

⚠️ If you change the date and time of one email in the cadence, it may affect the others. A prompt will appear to help ensure emails are still sent in a logical order.

5. Done!

You have now created and shared your Loop. Your contributors will receive scheduled emails inviting them to participate, and you will have full visibility of responses as they come in.

Share by Link

1. Click Share by link

You will be asked to enter the number of contributors you will be sending the link to.

You then have the option to copy the url and/or download the QR Code

  • Copy URL - Paste the link into your own communication. Flexible, but loses the tailored email experience.

  • Download QR code - Creates an extra step for contributors but gives flexibility in promotion.

⚠️ If you share by link or QR Code you will need to send reminders manually via your preferred communications method.

What happens next

Once your Loop is live, contributors will receive emails with a link to respond. A natural next step is exploring Delegates, so someone can manage Loops and communications on your behalf when you are away.

Common questions

Can I edit my Loop after I have shared it?

You can return to the Loop details to update the expiry date, and reminder dates (if sent by email).

My contributors say they have not received the email invitation. What should I do?

Ask them to check their spam or junk folder first. If it is not there, review the scheduled send time for your emails in the Share Loop section — the emails may not have been sent yet.

Can I share the Loop without using the scheduled email feature?

Yes. You can copy and paste the Loop URL into your own email or messaging tool, or download the QR code to promote the Loop in other ways.

What does enabling anonymous contributions mean for my results?

When anonymous contributions are enabled, you will receive responses without being able to identify who said what. This can encourage more candid feedback, particularly on sensitive topics.
