Before you start
Your Loop must have been created and your recording completed before you can share.
Your settings must be finalised before clicking Share Loop.
If you plan to use a pre-created group for your invitees, ensure the group has been set up in advance. Group creation is covered in the Groups section.
Step-by-step instructions
Share your Loop
1. Click 'Share Loop'
Once your recording is complete and your settings are finalised, click the 'Share Loop' button. This is the large red button at the bottom of the screen.
2. Choose your sharing method
You will see a screen with two options:
Invite by Email - send the Loop directly to named contributors via email
Share by Link - generate a URL or QR code to distribute through your own communications
đĄ This article focuses on the Invite by Email option. If you want to share by link
or QR code instead, generate the link, enter the estimated number of contributors,
copy the URL or download the QR code, and share via your usual channels such as
email, Slack, or Teams.
Add your invitees
3. Click 'Invite by Email'
Click Invite by Email to proceed with email distribution.
4. Add your invitees
You can add invitees using any of the following methods:
Select a pre-created group
Import from Microsoft
Import from a CSV file
Add manually
5. Select a group (if using this method)
If you are using a pre-created group, select it from the list. You will be able to see
the members of that group on the right-hand side before confirming.

6. Click 'Add Selected'
Click Add Selected to add the group members to your invitee list.
7. Review and adjust your invitees
You will be shown a list of invitees to review. You can add or remove anyone at this
stage. You also have the option to save this list as a group for future use.
8. Click 'Confirm Invitees'
Once you are happy with your invitee list, click Confirm Invitees to proceed.
Customise your email subjects and body text
9. Review the auto-generated email subject
You will see your invitation email and any reminders. The email subject is auto-generated for you. The number of reminder emails you see depends on the length of your Loop. A short Loop will have an invitation and a last chance reminder. A longer Loop will also include a midpoint reminder.
10. Edit the email subject
To edit the subject, click the pencil icon next to it. You can either:
Type your own subject directly into the field
Click the sparkle icon to generate new AI-suggested subjects if you want an alternative to the original
11. Edit the email body text
You can also edit the body of the email text. The closing date and time is already
inserted for you automatically.
â ď¸ If you accidentally delete the closing date from the body text, you can re-insert
it using the Closing Date button.
12. Save your changes
Click Save to confirm your subject and body text changes. The updated subject will
appear on screen.
13. Repeat for the last chance reminder
Repeat steps 10 to 12 for the last chance reminder email, and for the midpoint reminder if your Loop is long enough to include one.
Schedule your emails
14. Click the calendar icon to change the send date or time
If you want to change when the invitation or a reminder is sent, click the calendar
icon next to that email.
15. Select your date and adjust the time slider
Choose your preferred date from the calendar and use the slider to set the time you want the email to go out.
16. Confirm the change
Confirm your selection. The updated date will be reflected in the email.
17. Repeat for the last chance reminder
You can adjust the send time for the last chance reminder in the same way.
18. Click 'Save'
Click Save to confirm your scheduled send times. Your invitations and reminders are
now scheduled and ready to go.
What happens next
Your invitees will receive their invitation email at the scheduled date and time. They
will also receive reminders at the points you have scheduled. Contributors can respond to the Loop using the link in the email. You can monitor contribution activity from the Loop contributions page.
Common questions
How many reminder emails will my contributors receive?
This depends on the length of your Loop. A short Loop will generate an invitation and a last chance reminder. A longer Loop will also include a midpoint reminder in between.
Can I edit the invitation email after I have already scheduled it?
Yes. You can edit both the email subject and the body text after scheduling, as long as the email has not already been sent. You can also adjust the send date and time of any email in the same way. For reminders, ensure you make any changes before the scheduled send time
What happens if I delete the closing date from the email body by mistake?
You can re-insert it at any time using the **'Closing Date'** button within the email
editor.
Can I use a mix of email invites and shared links for the same Loop?
Yes. You can use both distribution methods on the same Loop. Send email invitations to named contributors and also generate a link or QR code to share through your own channels such as email, Slack, or Teams. All distribution options link to the same Loop
What is the difference between inviting by email and sharing by link?
When you invite by email, named contributors receive a personalised email invitation
directly. When you share by link, you generate a URL or QR code and distribute it
yourself through your own channels such as email, Slack, or Teams. With the link method you also need to enter an estimated number of contributors when generating the link.
Can I save my invitee list as a group for future use?
Yes. When reviewing your invitees at step 7, you will see an option to save the list as
a group. Group management is covered in the Groups section of the knowledge base.
