Before you start
Your loop must have been shared via Openlink.
At least 1 contribution must have been received before the Close the Loop option becomes available.
You must have Close Loop access on the relevant loop.
Have your pre-recorded video file ready on your device before starting.

Step-by-step instructions
💡 You can only close a loop that has already expired. The expiry date is shown on
screen for your reference.
Open the Close the Loop tab
Navigate to your loop and select the Close the Loop tab.
You will see:
How many contributors shared their thoughts
When the loop opened and expired
The total number of contributions received
Click "Close the Loop" to begin your reply
Click the Close the Loop button to open the Video screen.
This is your moment to acknowledge the feedback received and communicate the actions you plan to take as a result.
Select "Add Later" to add your video later
On the Video screen you will see two options:
Record Video - Record your reply live in the browser
Upload File - Upload a pre-recorded video from your device (this article)
Click Upload File.

Upload your video on the Video > Preview screen
Clicking Upload File opens a fresh Video > Preview screen. Select your pre-recorded video from your device to upload it.
Whilst on this screen you will also see:
Expired on — the loop expiry date and time
Contributions — the total number of contributions received
A reminder: "Video will be available after saving Close the Loop, at which point you can share manually"
Preview and save your video
Review your uploaded video on the Video > Preview screen, then click Save Video to lock it in.
Review and copy the suggested sharing content
After saving, you will see the following sharing options:
A direct link to your Close the Loop video
A QR code contributors can scan
Suggested email content ready to copy and paste into your email client or other communication tool
Choose whichever format suits your team best.
Share the update with your contributors
Send the link, QR code, and suggested email content to your contributors so they can view your reply.
The final screen brings everything together:
Your reply video
Loop open date, expiry date, and the date the Close Loop message was sent
Total contributions received
💡 This completes the full feedback lifecycle — collect feedback, close the loop with a personal video reply, and keep everyone in sync.
What happens next
Your loop is now fully closed. Contributors who receive your link or QR code can watch your reply video and see the key details of the loop. From here you may wish to begin planning your next loop to continue the feedback conversation with your team.
Common questions
Can I swap to recording live after clicking Upload File?
Yes. Use your browser's back button or return to the Close the Loop tab and click Close the Loop again to restart from Step 3. Select Record Video to record live instead.
The "Close the Loop" button is not available — what should I check?
The Close the Loop option requires a minimum of 1 contribution to have been received on your loop.
If no contributions have been submitted yet, the option will not be available. Also confirm that your loop has expired.
Can I edit or replace my video after saving?
Once you have clicked Save Video the Close the Loop message is triggered. Check whether your Dialogue configuration allows you to replace the video — if you are unsure, contact your WorkBuzz account manager.
