From the dashboard, find the Loop you want to close. Once the expiry date has passed and contributions have been collected, the Loop card will display a 'Close the Loop' prompt.

💡 Before recording, navigate to the Results tab and review the executive summary. Covering the key points from contributions in your video helps build genuine connection with your contributors.

Click the 'Close the Loop' button on the Loop card to open the recording screen.

On the recording screen, click 'Record Video' to launch the video recorder.

⚠️ If you are not ready to record right now, select 'Add Later' to return and record or upload a video at a later point.

Click the red record button to begin recording your response. The experience is the same as when you recorded your original Loop.

If you are not happy with the recording, delete it and start again. Once you are satisfied, click the green tick to confirm the recording.

You can click 'Preview' to watch the recording one last time. When you are ready, click 'Save now' to save and proceed.

On the 'Video saved' screen you will see a URL field with a Copy button next to it. Click Copy to copy the open link to your clipboard.

Paste the copied link into your own communication channel, for example an email, a Teams message, or an intranet post. Anyone who receives the link will be able to watch your Close the Loop video.

Click 'Return to Loop' to finalise the process and return to the Loop overview.

Your contributors can now access your video response using the link you shared. The Loop will be marked as closed. From here you can continue to review contributions or begin planning your next Loop.

The link can be shared with anyone. It is not restricted to the original contributor list. You are responsible for distributing it to the right audience through your own communications.

When using the open link, you copy a URL from the 'Video saved' screen and paste it into your own communication channel, such as an email, a Teams message, or an intranet post. You are responsible for choosing who receives it and how it is delivered.

When using the Dialogue email function, the email is automatically sent to everyone who was originally invited to the Loop. There is no need to collate or re-select your contributor list. You can personalise the email content before sending, but the distribution is handled entirely within Dialogue.

Yes, if you originally sent the loop via Dialogue email, you have the option to copy the openlink and share through your own communications platform.

At step 3, select 'Add Later' instead of 'Record Video'. This allows you to return and record or upload a video when you are ready, without losing the Loop.

At step 5, if you are not happy with the recording, delete it and start again before clicking the green tick. Once you are on the preview screen you can preview and delete the video if required.

The button only appears once the Loop has expired and at least one contribution has been recorded. If the Loop is still active or has no contributions, the option will not be available yet.
