Sharing Groups

How to create a group in Dialogue, share it with other creators in your organisation, and manage visibility after the group has been created.

Before you start

  • You will need access to the Groups section of Dialogue.

  • If you plan to import members, have your CSV file or Microsoft directory access ready.

Step-by-Step Instructions

Create a group

1. Click 'Create a Group'

Click 'Create a Group' in the top right-hand corner of the Groups screen.

2. Choose how to add members

You have three options for adding members to your group:

  • Import from Microsoft

  • Import from CSV

  • Add manually

3. Add your members

Add as many members as you like using your chosen method.

4. Review and adjust the member list

Once your members have been added, review the list. You can add or remove members as required. You can also delete members using the option on the right-hand side.

5. Enter a group name

Give your group a name.

6. Enter a description (optional)

You can enter a description for the group. This is optional.

Share a group during creation

7. Tick the share checkbox

Before clicking 'Create Group', tick the checkbox to share the group with your organisation. This makes the group visible to all other creators when they are creating Loops or browsing the group selection.

8. Click 'Create Group'

Click 'Create Group' to save and create the group. Once created, a small eye icon will appear next to the group name to indicate it is shared.

💡 Within the Groups filter you can view 'My Groups' or select 'Shared' to see all groups available across your organisation, including those created by other creators.

Share or make private an existing group

9. Locate the group you want to update

Find the group in your Groups list.

10. Click the ellipses on the group

Click the ellipses next to the group name to open the action menu.

11. Select 'Share' or 'Make Private'

Select 'Share' to make the group visible to all creators in your organisation. Select 'Make Private' to restrict visibility to yourself only. A confirmation screen will appear before the change is applied.

12. Confirm your selection

Confirm your choice on the confirmation screen. The group visibility will update immediately. A shared group will show the eye icon next to its name.

💡: Making a group private will not affect any Loops that have already been scheduled using that group. Those Loops will still go out to the same members.

What happens next

Your group is now ready to use when creating or sharing a Loop. Shared groups will be visible to all creators in your organisation. You can update group membership or visibility at any time from the Groups screen.

Common Questions

Can I share a group after it has already been created?

Yes. Go to your Groups list, click the ellipses on the group, and select 'Share'. A confirmation screen will appear before the change is applied.

What does the eye icon next to a group name mean?

The eye icon indicates that the group is shared and visible to all other creators in your organisation when they are creating Loops or browsing the group selection.

If I make a group private, will it affect Loops already scheduled with that group?

No. Making a group private will not affect any Loops that have already been scheduled. Those Loops will still go out to the same members.

Can I see groups created by other creators?

Yes. In the Groups filter, select 'Shared' to see all groups that have been shared across your organisation, whether they were created by you or by someone else.

Can I delete members from a group after it has been created?

Yes. Open the group, review the member list, and use the delete option on the right-hand side to remove any members.

Can I save an invitee list as a group when sending a Loop?

Yes. When reviewing your invitees during the Loop sharing flow, you will see an option to save the list as a group for future use.
