Before you start
Your IT team must have approved the WorkBuzz Dialogue application in Microsoft Azure Active Directory and granted the required read permission before any user can connect. This is a one-time organisational setup - speak to your IT function if this has not been completed.
You must be logged into your Microsoft account in your browser. If you are not, you will be prompted to log in during the connection step.
You need Loop Creator or Power User permissions in WorkBuzz Dialogue.
Step-by-step instructions
1. Navigate to Groups
In the left-hand navigation bar, click Groups. You will see your current and existing groups. You can add to existing groups using the same process below, or follow these steps to create a new one.
2. Create a new group
Click the red Create a Group button in the top right of the screen.
3. Choose your import method
You will be presented with three options:

Click Import from Microsoft.
⚠️ If you see a modal saying you need to connect your Microsoft account before you can import, complete steps 4–6. If Microsoft is already connected, skip to step 7.
4.Go to Integrations (first-time setup only)
A modal will appear with the message: "Connect to Microsoft — you need to connect your Microsoft account before you can import people from the organisation's directory."
Click Go to Integrations.
5. Connect Microsoft Active Directory
You are taken to the Integrations section of the platform settings. Locate the Microsoft Active Directory section and click the red Connect button.
💡 If you are not already logged into Microsoft in your browser, you will be prompted to log in at this point. Once logged in, the connection will complete automatically.
6. Return to the app
Once connected, click Back to App in the left-hand navigation. Return to Groups in the navigation bar and repeat steps 2–3.
7. Search and select people from Active Directory
A modal will appear titled Import from Microsoft Directory.
The modal offers the following ways to find people:
People tab - search for and select individuals directly
Distribution Lists tab - search for and import an existing Active Directory distribution list
All Departments dropdown - filter by department
All Job Titles dropdown - filter by job title,
All Locations dropdown - filter by location,
All Accounts dropdown - filter by member or guest status
To import a Distribution List:
Click the Distribution Lists tab.
Type a search term in the search box to find your distribution list.
Click the name of the distribution list to expand it and see who is inside.
Tick the checkbox next to the name of the distribution list to select everyone inside it.
💡 If individuals appear in more than one selected distribution list, they will only be added once — no duplicate messaging.
To select individuals from the People tab:
Click the People tab and use the department, job title, location, or account dropdowns to filter the list.
Tick the checkbox next to each person you want to add, or use the checkbox in the table header to select everyone currently shown.
💡 Each person receives their own individual invitation to a loop - never a group email.
8. Add people to your group
Click the red Add People button in the bottom right of the modal. A green confirmation message will appear confirming how many people have been added.
💡 The red button in the bottom right of the modal will update to show how many people are selected e.g. Add 6 People
9. Close the modal
Click the ✕ in the top right of the modal to close it. You will be returned to the Create Group screen (URL: `groups/create/people`) and can see the number of people added to your group.
10. Confirm people
Click the red Confirm People button in the bottom right of the screen.
11. Enter group details
You are now on the group details step.
Complete the form
Enter a name in the Group Name field. This is a required field.
Optionally, enter a description in the Description field -This field can be left blank.
To share the group with others, tick Share this group with my organisation.
💡 The tooltip on this checkbox reads: "Shared groups can be seen and used by other creators in your organisation." If ticked, all loop creators and delegates in your organisation will be able to select this group when sending loops. Leave unticked to keep the group private to you.
12. Create the group
Click the red Create Group button in the bottom right of the screen. A green pop-up will confirm: "Group created successfully." Your new group will appear in the Groups list immediately.
What happens next
Your group is now available to select when sending a Dialogue loop. If you shared the group, it will also be visible to other loop creators and delegates in your organisation.
Common questions
Can I add more people to a group after it has been created?
Yes - navigate to Groups, open the group, and follow the same import process to add more members.
What if my distribution list does not appear in the search?
Check that your Microsoft Active Directory integration is active under Integrations. If the list still does not appear, confirm with your IT team that the distribution list exists in your Azure AD tenant and that WorkBuzz Dialogue has the required read permissions.
What if I am not logged into Microsoft in my browser?
You will be prompted to log in when you click Connect on the Integrations page. Once logged in, the connection will complete automatically.
What is the difference between a shared and a private group?
Shared groups can be seen and used by any loop creator or delegate in your
organisation when sending loops. Private groups are only visible to the person who created them.
Can I import from a CSV instead of Active Directory?
Yes - at step 3, choose Import a CSV file. A template is available to download during that process. See: Creating a group from a CSV file.
