How to set up multi-factor authentication (MFA) in WorkBuzz Dialogue. This covers entering your credentials, creating a new password, and completing MFA setup using a one-time code from an authenticator app.

BEFORE YOU START

  • You will need your username and password, provided to you when your account was created.

  • You will need an authenticator app installed on your device. Dialogue works with any TOTP-compatible authenticator app, such as Microsoft Authenticator, Google Authenticator, or Authy.

  • MFA setup only needs to be completed once.

If your organisation uses single sign-on (SSO)

šŸ’” If your organisation uses Google or Microsoft single sign-on, you do not need to set up MFA in Dialogue. After you enter your email address, you will see a 'Continue with Google' or 'Continue with Microsoft' button instead of the setup steps below. Select it and sign in with your usual work account.

MFA for SSO accounts is managed by your own IT team through Google or Microsoft. Any codes or prompts you see while signing in come from your organisation's identity provider, not WorkBuzz. The authenticator app you already use for other work systems will continue to apply here.

If you lose access to your authenticator app or device, contact your own IT team rather than WorkBuzz support, as they manage your account.

If you do not see a 'Continue with Google' or 'Continue with Microsoft' button after entering your email address, your organisation is not set up for SSO. Follow the setup steps below instead.

STEP-BY-STEP INSTRUCTIONS

Log in and set your password

1. Go to WorkBuzz Dialogue and enter your credentials

Open WorkBuzz Dialogue and enter the username and password provided to you. Click to continue and begin the MFA setup process.

2. Create a new password

You will be prompted to create a new strong password. Enter your new password in the 'New Password' field.

3. Confirm your new password

Re-enter your new password to confirm it. Click to proceed to the MFA verification step.

šŸ’”Choose a strong password that is unique to your Dialogue account. Do not reuse a password from another service.

Set up multi-factor authentication

4. Scan the QR code with your authenticator app

A QR code will be displayed on screen. Open your authenticator app and scan the QR code. Your app will then generate a one-time code linked to your Dialogue account.

If you cannot scan the QR code - for example because you are using a desktop authenticator app or your device camera is unavailable - you can enter the key manually instead. Below the QR code you will see the option to reveal or copy the key. Select the eye icon to reveal it or the copy icon to copy it to your clipboard, then add it to your authenticator app using its option to enter a setup key manually. Your app will generate the same one-time codes either way.

5. Enter the one-time code

Enter the one-time code generated by your authenticator app into the field provided on screen. Click to verify and complete MFA setup.

6. MFA setup complete

Your account is now protected with multi-factor authentication. You will not need to repeat this setup process. From your next login you will be prompted to enter a one-time code from your authenticator app each time you sign in.

Keep your authenticator app accessible on your mobile device as you will need it each time you log in.

WHAT HAPPENS NEXT

Your Dialogue account is now secured with MFA. Each time you log in you will be prompted to enter a one-time code from your authenticator app in addition to your password. Keep your authenticator app installed and accessible on your mobile device.

COMMON QUESTIONS

Does MFA apply to all users?

MFA is required for all users who log in to Dialogue - Loop Creators, Power Users, and Delegates. Contributors do not log in to Dialogue and do not require MFA.

Which authenticator apps are compatible?

Dialogue works with any TOTP-based authenticator app, such as Microsoft Authenticator, Google Authenticator, Authy, or 1Password. If your app generates time-based one-time codes, it will work.

Do I need to set up MFA every time I log in?

No. MFA setup only needs to be completed once. After setup you will simply be prompted to enter a one-time code from your authenticator app each time you log in.

What if I lose access to my authenticator app?

If you lose access to your authenticator app or mobile device, contact your IT Team to regain access to your account.

Do I need to create a new password as part of MFA setup?

Yes. As part of the initial setup you will be prompted to create a new strong password before completing MFA verification. This only happens once during first-time setup.
