Trusted Email Configuration Guide

To ensure WorkBuzz Dialogue emails are recognised as trusted organisational communications and display correctly within Outlook, configure trusted sender rules and (optionally) a custom informational banner.

Trusted Sender Email Addresses

The following sender addresses should be treated as trusted:

These are the operational mailboxes used by WorkBuzz Dialogue for notifications and support communications.

Recommendation: Trust these specific email addresses rather than the entire domain wherever possible.

Recommended Allow-Listed Domains

If your email security, web proxy or endpoint protection systems require allow-listing, add:

dialogue.workbuzz.com
links.dialogue.workbuzz.com
assets.dialogue.workbuzz.com
api.dialogue.workbuzz.com

Where security policy permits, the following wildcard may be used:

*.dialogue.workbuzz.com

Option 1 - Exchange Online Mail Flow Rule (Recommended)

This is the preferred enterprise approach.

Create a Mail Flow Rule

Navigate to:

Exchange Admin Center
→ Mail Flow → Rules → Add Rule → Create a New Rule

Option 2 - Microsoft Defender Allow List

If your organisation uses Microsoft Defender for Office 365:

Navigate to:

Microsoft Defender Portal
→ Email & Collaboration → Policies & Rules → Threat Policies → Tenant Allow/Block List

Add:

if your security policy allows domain-level trust.

Option 3 - Remove External Sender Warnings (Optional)

Many organisations use Microsoft’s “External Sender” warning banner.

Where appropriate, create an exclusion so these trusted WorkBuzz addresses are exempt from the warning.

Excluded senders:

This prevents users seeing a red warning banner on approved WorkBuzz communications.

Outlook Safe Senders (Testing Only)

For individual mailbox testing:

Navigate to:

Outlook
→ Settings → Mail → Junk Email → Safe Senders and Domains

Add:

Note: This only affects the individual user’s mailbox and is not suitable for organisation-wide deployment.

  1. Create an Exchange Online mail flow rule that applies a “Trusted WorkBuzz Communication” banner.

  2. Exclude the two trusted sender addresses from any external sender warning policy where organisational policy permits.

This provides a clear user experience while maintaining a principle-of-least-privilege security model
